I've handled replacement parts orders for Weir equipment and other industrial gear for eight years. I've personally made—and documented—14 significant ordering mistakes, totaling roughly $23,000 in wasted budget. Some were small, like a $90 gasket that didn't fit. Some were bigger, like a $3,100 batch of impeller wear rings that went straight to scrap. Now I keep a checklist so the next person doesn't learn the expensive way.

This is a 7-step checklist. Use it before you order a Weir slurry pump part, a furnace replacement weir, a pool pump, a plate compactor, or anything for a half ton truck. It's not exciting, but it works.

When to Use This Checklist

Use it when you're replacing an existing part, not when you're designing a new system. Replacements come with clues: the old part, the nameplate, the serial number. This checklist helps you capture those clues before you spend money.

It's especially useful when the part number is worn off, the equipment is older than the engineering manager, or a quote looks too good to be true. It also works when the hard part is research—like trying to verify the Kilcolgan weir construction date for a project file. Same process: verify, measure, ask, then order.

The 7-Step Checklist

1. Write down what you actually know

Don't order from memory. I've done it. It failed.

Start with the basics. Take photos of the nameplate, model tag, serial number, and the part itself. Write down every stamped number, even if you don't know what it means. For a pool pump, include voltage, phase, horsepower, impeller number, and pump type. For a plate compactor, include engine serial number, plate model, and bolt spacing. For a furnace replacement weir, note the refractory material and operating temperature. For a Weir pump, get the pump serial number and casing number.

If you can't read the tag, don't guess. Send a photo to the manufacturer and ask them to identify the part. Most manufacturers can decode a serial number better than you can.

2. Measure twice, then send the measurements to someone else

A few years ago, I ordered 12 impeller wear rings for a Weir pump. I had the diameter, the width, and the material. I skipped the wall thickness because it didn't seem important. All 12 were wrong. About $3,100 went to scrap, plus a week of delay.

Measure the old part with a caliper when tolerances matter. Use a tape measure for larger dimensions, but remember that a tape measure lies on small parts. Take photos with the measuring tool in the frame—it helps the vendor spot what you missed.

On a furnace replacement weir, measure the sealing surface at three points, not one. On a plate compactor, measure the bolt pattern on the base plate. It changes more often than you'd think. And for a pool pump, measure the impeller diameter and the diffuser opening, not just the inlet fitting.

3. Check the age of the existing unit

Manufacturers change specs during a production run. A part from 2016 may not fit a 2023 machine, even if the model number is identical. The older the machine, the more important the age is.

Find the build date when you can. Look for a serial number prefix, a date stamp, or a heat number. This applies to machines and to civil structures. A few years ago, I needed to confirm the Kilcolgan weir construction date for an asset file. The original date mattered less than the modification history, because the structure had been changed twice since then. The same happens with pumps: a pump modified in 2018 can have a different discharge flange than the original build.

Write down any event stamps, heat numbers, and plant tags. If the unit is installed, take a photo of the whole installation. Future you will need it.

4. Don't trust the part number on the old part

Part numbers get superseded. Casting numbers are not always ordering part numbers. A part number that worked last year may have been replaced by a newer revision with a different fit.

Check the manufacturer's parts diagram. For Weir equipment, the Weir Parts Center portal has exploded views that help you compare the old part number to the current one. For a furnace replacement weir, ask the supplier for the current revision and check if the refractory grade has changed. For a pool pump, don't drop the letter suffix on the part number. It usually means a revision, and revisions matter.

If you're buying a plate compactor base plate, check whether the replacement is a universal fit or a model-specific fit. 'Universal' sometimes means 'drill your own holes.'

5. Ask the vendor what they need from you

Before paying, ask: 'Is there anything missing from my spec?' A good vendor will ask for the serial number, photos, or dimensions. A less careful vendor will just take the order and let you deal with the consequences.

Don't write 'standard part' in the notes. There is no such thing.

This is also where small customers learn who's worth keeping. When I started out, the suppliers who took my $200 orders seriously are the ones I still use for $20,000 orders. Small doesn't mean unimportant. A vendor that treats a small replacement part order well will usually treat a big order well, too.

6. Know the real rating, not the class name

This is probably the least exciting step, and also the one that prevents the worst failures.

Take the usual question: what is a half ton truck? It's a light-duty truck class, not a strict payload limit. A modern half-ton can often carry more than 1,000 pounds, but the exact capacity depends on the GVWR, axle ratio, and options. Buying brake parts based only on the phrase 'half ton' is a mistake.

Same with a plate compactor. A '4,000 lb compactor' is usually the centrifugal force rating, not the machine weight. Base plates, engines, and clutches vary by model. And for a pool pump, check the service factor on the motor. A 1 HP pump with a high service factor can draw more current than the wiring was designed for.

The class name helps you compare vehicles or machines at a glance. It's not a replacement for reading the spec sheet.

7. Run the total cost before approving

The invoice is not the total cost. Include freight, rush handling, installation labor, and the chance of rework. If a part fails after installation, the replacement cost doubles.

I learned this with an aftermarket impeller for a Weir pump. The price was 30% lower, but the balance was off. It vibrated until the shaft seal started leaking. The savings disappeared after the first repair.

Get two quotes when possible. If a quote is dramatically low, ask why. Sometimes it's a good deal. Sometimes it's a part that's been sitting in a warehouse for 15 years. Ask about the return policy too. A part that can't be returned isn't a bargain.

Common Mistakes to Avoid

  • Ordering from a screenshot without the full serial number.
  • Assuming a newer model has the same mounting points.
  • Skipping the manual because 'it's just a pump.'
  • Buying a used plate compactor without checking the engine hours.
  • Guessing a half ton truck's tow rating from the name.
  • Not asking about revisions on a furnace replacement weir.
  • Forgetting that a pool pump motor and pump end can have different dates.

Bottom Line

This checklist won't stop every mistake. In the past 18 months, it's caught 47 potential errors, and one bad order still got through. The difference is that it got caught before installation, not after.

The goal isn't perfect procurement. It's keeping a replaceable part from turning into a project. If you're about to place an order, take the extra 20 minutes. It's cheaper than the redo.
